Personal Assistant to the Executive Director & Event Coordinator

Duties
- Typing of CONFIDENTIAL documents, reports, minutes, correspondence and general filing
- Preparing for Board meetings by making necessary flights accommodation and vehicle bookings
- Preparation and compilation of Board, Exco, Remuneration Committee and AGM papers
- Setting up meetings and/or appointments as required by the Executive Director
- Travel arrangements for the Executive Director
- Provide a communication link between the Executive Director and external organisations
- Attend and prepares minutes for HOD, Community Committee Meetings and various other committees
- Coordinate and maintains the diary of the Executive Director
- Manage the College stationary budget
- Manage and Supervise Reception staff
- Liaison with staff and students across the College
- Receiving and greeting VIP visitors on behalf of the College Management
- Attend, co-ordinate and prepare minutes for EXCO, Board and AGM meetings
- Manage stationery; this includes ordering, controlling stock and managing the budget and all related activities
- Draft and edits correspondence on behalf of Executive Director
- Screen incoming calls, e-mails & mail and handles responses or redirects whenever appropriate for the Executive Director
- Make appointments and travel reservations (national and international) i.e. visas, necessary travel inoculations etc.
- Manage and control database of contact details birthdays for all Board, EXCO, PPF, WWF-SA, donors, and other stakeholders
Host VIP's and international guests
- Ensuring that Malaria testing is conducted annually
- Ensuring that students and staff are issued with ID cards
Any other similar or related task as may be required by the Executive Director from time to time.
