Designation: Manager – Administration & HSSE, Functional In-charge of two CFS
Key responsibilities –
Administration
* Liaise with CIDCO, MPCB, MTNL, RTO, JNPT and other Government and Semi-Government bodies on all administrative matters and ensure that approval for telephones, water supply, electricity, etc. is obtained without any delay.
* Facility Maintenance.
* Procurement.
* To ensure upkeep and maintenance of office equipments, appliances, etc. by monitoring warranties and annual maintenance contracts.
* To be responsible for Company vehicles and ensure that they are utilized efficiently and optimally. Ensure that all records on insurance, registration, tax etc. are up to date.
* Housekeeping.
* Liaise with Contractors for annual contracts of service provided like Pest Control, electricity, plumbing, safety equipments, Canteen, Housekeeping, etc.
* Monitor the Staff Canteen and ensure ongoing improvements.
* Insurances, Claims.
* Organizing office get-together and training programs.
* Monitor record of contract employees.
* Budgeting
HSSE
Security
* Frame Security SOPs. Formulate detailed orders for security staff and act as a Technical Advisor to all Maersk staff on security.
* Submit regular intelligence report to Management. Bring it to the notice of Top Management and Departmental Heads if there is any loop hole/laxity in the security of their respective departments.
* Regulate issue of identification card/temporary passes/vehicle passes. Draw out plan for searching/arranging surprise check of visitors/staff/contract labours. Maintain up to date record of all checks and important events from the security angle.
* Conduct preliminary investigations on activities of sabotage, out break of fire, thefts, pilferage, accidents, etc. that affect the security of the premises until such time the investigation is handed over to the appropriate authority. Examine losses, which are suspected to have taken place inside the premises due to theft/fraud and take necessary preventive action.
* Establish liaison with local police, fire station and neighboring establishments. Report fully and promptly to the local police station all cognizable offences committed within the premises.
* Maintain CCTV system.
Safety
* Liaise with Maharashtra Security Guard Board.
* Frame Safety SOPs. Formulate detailed orders for security staff and act as a Technical Advisor on safety.
* Ensure that the Fire Fighting Equipments including fire hydrants inside the premises are always functional and are well maintained. Hold fighting practices at regular intervals. Try to be on the scene of fire and assume charge of Fire Master and coordinate the activities till such time the fire Fighting crew from local fire station arrives.
* In conjunction with functional departments, firm and implement safe working practices by operators and labour besides staff.
* Ensure appropriate display of safety rules, guidelines and warnings to be observed by all people including visitors within the premises.
* Hold Evacuation Drill at regular intervals.
* Arrange Fire Fighting, Fire-aid, safety awareness training at regular intervals to contract labours and staff.
* Submit HSSE reports every month.
Industrial Relations
* Liaise with Labour Deparment, Shop & Establishment, Gram Panchayat and other Government and Semi-Government bodies for IR matters and ensure that Licenses renewed without any delay.
* Ensure that Workmen's Compensation and Personal Accident Acts are complied with.
* Monitor the salaries Register of all contractors and ensure that Contractors pay the Labour their dues as per the Agreement.
* Ensure that Contractors comply with Payment of Provident Fund and other statutory compliances.
* Obtain information of wages paid by local competitors.
* Regularly check attendance records of contract staff and remedial action in case of absenteeism.
