* Ensuring overall compliance to Contract and legal requirements.
* Monitoring, review with Contractor and timely process of the Change Order Requests, Compile data and prepare Change Orders for Approval.
* Ensure that all outgoing correspondence is contractually and legally sound, Maintain correspondence register for all contractual matters, Maintain and update register of potential changes.
* Preparing any required amendment and contractual documents, Verifying adequacy and validity of any contractually required documents such as bonds and certificates.
* Maintaining daily contact and coordination with end user, vendors, sub-contractors, freight forwarders to ensure compliance with each contract, Following-up with vendors and end users to obtain technical information required and/or needed to complete the contract
* Analyzing sales orders and order acknowledgements against purchase order and user requests; resolving discrepancies; updates information on the computer system
* Coordinating delivery schedules and major contract milestones, Monitoring and controlling all import and export documentation and paperwork to ensure goods pass through customs - Resolving discrepancies to material specifications, short shipments, damage goods, payment terms, etc; changes after the issuance of the purchase orders
* Assisting Financial department in resolving issues pertaining to monthly statements, open receivables, and payables, Assisting with Inventory Control, Accounts Payables and Accounts Receivables; investigates charges not contracted on purchase order, credit or debit orders, currency extension and/or hedging, and other financial needs or requests
* Expediting contractor payment approvals - checking and verifying invoices, preparing payment certificates, getting them finally approved by Budget Holder or CAM, processing them for payment and issuing the remittance notes to our contractors.
* Building and maintaining a commercial relationship with contractors
* Provide input into Monthly and Weekly cost reporting - Establish cost databases and spreadsheets as required to analyse, evaluate and report cost data (Access, Excel).
* Preparation of balance sheet account reconciliations
* Invoice Management, carrying out cost investigations
* Participating to Services Meetings and weekly/monthly meetings with Contractor, if required
* Ensuring proper Contract close out in accordance with Company / Government procedure
