Currently employed with Consolidated Contractor Company International as a Lead Document Controller.
Engaged by CCIC to initiate and manage the Document Control Operations for the Abu Dhabi Office. Working for Engineering, procurement support office in Abu Dhabi -UAE, streamlined the Document Control processes for the execution on projects locally and around the Middle East region. Appointed to be part of the DCG Group, trained as a VBC Administrator in Abu Dhabi-UAE. Headed the Document Control Group for the current projects
* 'Khafji Phase 1' Project called KJO where oil and gas exploration and production Plant, being constructed in the divided ex-neutral zone between Saudi Arabia and Kuwait, is primarily for oil exploration under stringent surveillance of ARAMCO standards.
* Bu hasa-Habshan Gas Pipeline Project (BUHASA) being constructed in Abu Dhabi is primarily a pipeline under stringent surveillance of GASCO Standards.
* Offshore Associated Gases (OAG) being constructed in Abu Dhabi is primarily a oil and gas exploration and production plant being extended in Abu Dhabi, Habshan under stringent surveillance of GASCO Standard.
Responsibilities
* Meets with PMT and Contractor to confirm information and the documentation for Project deliverables. Assists the Vendor, Contractor to understand specified requirements (document numbering, VBC software utilized, etc.) and verifies that this information is cascaded to sub-contractors and vendors.
* Assist in preparing distribution of matrix for vendors and sub-contractors.
* Manage document process / work flow cycle and control document review/approval process.
* Manage vast project database, ensuring timely update for easy search and retrieval process of documents by all project personnel.
* Generate weekly pending list of documents lying under review / approval cycle and follows up Maintain project deliverable register
* Training / development of subordinates. Highlight areas of concern, defines and or assists in defining corrective action plans with project manager for implementation.
* Organizes and maintains the technical central documentation filing.Collecting and reporting of information related to status of project documents, drawings thru the entire file cycle of the project.
* Generate / review project procedures, deliverable and numbering procedure. Effectively control, report and ensure all duties are carried out within the established procedures.
* Resolution of outstanding issues regarding project documentation with all parties concerned
* Provides expertise and direction on all major project document management and control activities and future development.
* Dispatches technical documentation to the site and Construction engineering team members as well as Operation Team and Technical Services as per the distribution Matrix. Corresponds with required personnel (division and contractors) for receipt for outstanding documents and follow up and prepares document status reports.
* Conducts or participates in audits / and or spot sampling of both contractors documentation and EDMS supporting system to ensure its adequacy, accuracy as well as correct interfacing with company systems (VBC) and requirements and attend project progress /review meeting

Responsibilities
Responsible for administering the company's controlled documents in accordance with customer and company requirements. Receive and review documents for completeness and accuracy, assign parts and document numbers, and maintain the electronic logs. Determine and enforce - through functional groups - document control requirements in order for the company to meet internal and external needs
Duties performed during this time
Project Award Stage
Setting of project documentation criteria and internal parameters & studies the client as well as company requirement for Quality documentation.
Responsible for the execution of assigned document custodianship i.e. taking custody of, receive and archive design and project documents consisting of: engineering drawings, specifications, contracts, scopes of work, calculations, data sheets, O&M manuals, MTO's,BOQ's, reports, electronic files, etc.
Experience in tendering: able to prepare pre-qualifications, queries, quotations, clarifications, typing of standard letters, statements, BOQs, monthly payment certificates, variation orders, calculations etc… with great care and confidence.
Review the vendor documents inline with contract specification and obtain the same.
Project Construction Stage
All the drawings, documents shall be given identification, reliable storage, protection, easy retrieval, retention time & disposal of records
Coordination with Engineering team allocating numbering system & filling as the procedure.
To ensure as per the company procedure distribution document and drawings to concern dept, getting their acknowledgement.
Controls of documents to ensure latest approved quality related documents are available to users and that super ceded or obsolete documents are not used inadvertently.
Providing Technical Support to the project team. Making soft copy packages and preserving the same.
Comments on Design / Drawings shall be noted and forwarded to Consultancy to comply with the comments on drawings and the same shall be forwarded to Client and Contractors.
Create hyperlinks from tables to records, drawings & create cross-references to related materials and documents
Co-coordinating with Internal Quality Auditor to prepare required ISO documents, manuals, trainings courses formats etc
Co-ordination with subcontractor issuing latest revision through transmittal, Auditing on monthly basic.
Conversant in the use of EDMS tools especially for Scanning & importing tools to bring the document in to system, Storage & archiving files, access control tools to provide document accessing permission to authorized persons only and monitoring and updating.
Ensures that the documentation flow through the Project Management Team's office is produced to standard formats and are correctly numbered / registered / stored on electronic format (EDMS) when activated. Supports documentation related activities for both technical and non-technical records (i.e. Correspondence, contract documents).
Maintains and updates a comprehensive filing system including business correspondence, reports, telexes, circulars, local and foreign addresses, telephone numbers, business journals, periodicals as well as administering the Projects Database (catalogue/registering/maintaining documentation filing).
Maintaining all project Documents Registers, these documents registers describes the Identification no, description, revision, status, issue date and lists out all project incoming and outgoing documents in such a way that submission, approval and action taken status can be tracked. These registerss are live document and is up dated dialy and ensuring valid document is used and superseded document marked and retained and changes can be identified in the register.
Project Close out Stage
Review the overall scope regarding final documentation.
Collecting As-built drawings and documents such as manual warranty certificates etc from Contractors and produce final document presentation to as required by client.
Ensuring final documentation Index will be prepared in accordance with "Contract Requirements" and according to that Index all documents will be compiled for final hand over.
Prepare Spare parts list, O & M Manuals, as built files & necessary certification files for the projects.
Review and compilation of inspection documents for final documentation.
Coordination with Planning department, Engineering Department, Procurement department for timely completion of the project.
Coordinate with client completion team for the projects final documentations
