Job Profile -
- Excellent organizational skills and strong ability to multi-task, Willingness to positively embrace change and flexibility in adjusting to changing priorities.
- Working with PMT ( Project management Team) for the project of SHARQ 3rd Expansion (with SHARQ and Foster Wheeler Personnel) as document Controller since June 2006.
- As a Document Controller, Check Document numbers, status, date, revision etc. of the drawings and document submitted by the contractors (Mail Civil Camp, Electrical Supply, Pipeline, and Storage Tank Construction) as per approved Documentation Procedure Concern Contractor and receive the same.
- Search and retrieve documents through Micro DMS
- Using of WebDMS for uploading and issue transmittals electronically.
- Prepare outgoing Site Transmittal and update transmittal log day to day.
- Receive RFI and distribute by discipline and prepare RFI's Weekly and Monthly status for review and action.
Set up & operate document flow / issue process ; maintain / update users role & responsibility matrix ; coordination with project groups for document submittals from various internal & external sources. Tracking of document receipts. Checking of completeness of documentation submittals.
- Distribute the Documents to concern department as per the specified discipline or Instruction of QA/QC Manager/ Construction Superintendent/ Field Operation Manager/Field Supervisor/ Construction manager and Project Leader.
- Follow up the distributed documents as per the purpose code of contractor Transmittals by using document distribution register.
- File the Documents as per the procedure code approved by the Client and Geographical Area/ Location code of the work site as specified in document Procedure.
- Maintain a Database for each contractors and separate documentation like drawings, procedures, and vendor data document, Datasheets, Reports, Schedules, and Specification etc.
- Creates/maintains orderly filing system, with indexing & color coding. Keep reference files and manuals up-to-date.
- Supervise and coordinate the day-to-day activities of Document Control staff and Document Control programs, Develop and administer Document Control, Coordinate batch record reviews for complaint requests that are issued by Professional Services and/or Quality Assurance, Manage the electronic document repository.
- Maintain of all investigation/discrepancy reports (issuance of report numbers, receipt and distribution of completed reports, and storage/archival), Assist with internal audits of Document Control functions when necessary.
- Co-ordinate and manage the document control system, Develop the document control systems and procedures within as required.
