NATURE OF DUTIES:
Responsible for a smooth Operation to meet the Sector team commitments. Maintain a good working relationship and achieve a balance between manager expectation and the reportees responsibilities
Responsibility in brief:
Ÿ Plan and schedule meetings and appointments; Update calendar on Manager's day to day activities
Ÿ Check and send mails/faxes and response on manager's behalf; Organize and maintain paper and electronic files; assist in selecting and maintaining office equipment.
Ÿ Compose correspondence; manage databases; and create presentations, reports on sales, pending orders, short supply.
Ÿ Mainly involved in tender work; working closely with the sales staff responsible for tenders. I collate all the information relevant to a tender, typing the specifications, guidelines and terms & conditions for sending out to suppliers and manufacturers for quotation. Closely involved in the assessment of supplier bids and presentations, scrutinising all submissions/tender documents prior to the submission of the bid to the ministries. Arranging bid bonds for submission with tenders
Ÿ Interact with customers/principals to organize product presentations/seminars.
Ÿ Take care of travel bookings for the managers and foreign guests, visa processing & hotel room reservations.
Ÿ Surfing Internet for new suppliers and follow up for offers.
Ÿ Logistics assistant duties include co-ordination with the clearing agent for arranging the clearance of the material from port and delivery of the same to powerstations, generating invoices and submission and follow-up for payment
