Job Description:

* Source new vendors locally and internationally and gain approval from Client to proceed to issue enquiries to vendors, on suppliers approved for the project
* Reviewing of all Request For Inquiry packages, specifications prior issuance to pre-qualified vendors and contractors.
* Preparation and release of tender document packages
* Reviewing of all contract documents, purchase orders, specifications, vendors licenses/certificates validity and scope of work
* Contact vendors for quotation and price negotiation and update inquiry status report
* Evaluate the offers commercially to determine most desirable suppliers
* Coordination with international/local vendors and contractors on payment and delivery terms & conditions
* Performs manufacturing plant visits for vendor print documents submittals
* Coordinate with Group purchase department to issue the PO
* Implementation of order package shipping instructions, packing instructions, documentations (material test certificates), inspection test plan, PMI (positive material identification), marking procedure
* Collect documentation for shipment/cargo clearance from vendors
* Coordination with Third Party Inspectors for inspection prior to delivery of materials
* Coordinate all expediting and inspection of equipment and gain approvals from Engineering to release material
* Coordination with project site material offices readiness on receiving preparations, in-house inspectors/witnesses and confirmation on delivery completion, shortages/excess, breakages and damages
* Report directly to the Senior Procurement Manager

Job Description:

* Issuing purchase orders, resolving invoice issues and tracking of materials
* Monitor the progress of bulk materials purchase orders/take action necessary to identify and avoid late delivery.
* Support the senior buyer with on-time delivery of bulk materials.
* Review accuracy of material specification being used in gasket manufacturing (metallic and non-metallic)
* Review supplier production schedules, monitor supplier workload and status of sub-orders.
* Maintain well-documented files with regards to supplier shipping activities.
* Maintain the document change control process that involves the receipt, approval, distribution, and storage of documents.
* Reconcile supplier invoices against PO delivery
* Coordinate the receiving and inner-office distribution of shipments, courier pick-up/delivery-reconcile courier invoices
* Answer phone calls from external callers and clarify all issues then route as appropriate.
* Perform general administrative and clerical tasks in accordance with standard procedures

SPECIAL SKILL:

Computer literate (i.e. Visual basic, Dbase, Ms Word, Ms Publisher, Ms Excel, Power Point, Ms Outlook)
