RESPONSIBILITES
(Brief Summery of Task and Duties on Projects)
Responsible for assisting in driving the organization
* Monitoring the process of maintenance and archiving of all internal & external documents and documentation, including drafts, originals and subsequent versions of contracts, proposals, modifications, general communication, agreements, technical documents/drawings, white papers, policies & procedures, guidelines, agendas, plans and programs meeting minutes; coordinating the above documentation into a company-wide document management system
* Ensure proper and satisfactory operation of the computerized document Management system at all stages (transmitting, receiving, recording, Scanning, archiving viewing etc.)
* Develops procedures for document scanning and oversee indexing of documents into the Electronic Document Management System (EDMS) and oversee the maintenance of the Common Company System (CCS)
* Supervise day-to-day operations of Document Retention Group & Provides information to internal and external auditors as requested for audit purposes; generate special reports as required.
* Maintain a secure, computerized document revision system, a periodic review system, and status tracking for all process-related documents/drawings and records, Unclassified documents originating within the company.
* Establish and operate the Electronic document management systems on a project, managing the access to the system & Support the smooth execution and maintenance of the Document Management System. Create and maintain a Disaster Prevention and Business Recovery Plan.
* Document classification, sorting, filing, archiving and retrieval of document in accordance to project document indexing and filing system...
* Provide coordination/liaison support for document control areas during active project phase as well as end for Smooth Handover.
* Ensure each document and data control function is operated by Senior Document Controllers and Document Controllers and provide guidance when necessary. Carry out various functions related to project document receiving & transmittal, safekeeping & maintenance of project document archives, document imaging, and distribution.
* Monitors the need to expedite vendor data and ensures that Expediters take appropriate action.
* Technical skills on Storage of Large volume, records scanning, and Data Capture. Capability and understanding of the requirements to enable CD burning and copying.
* All documentation pertaining to project and sensitive system software and changes made therein shall be updated to the current time, accurately and stored securely and shall be restricted to authorized personnel on a "need-to-use" basis only, An up-to-date inventory list of all documents shall be maintained to ensure control and accountability,
* Provides assistance with the development and implementation of new systems, enhancements to current systems, and special projects.
* Oversee, liaise with and provide training necessary for Document Controllers in all Group and associated locations. Provide support for document control areas during active project phase as well as end for smooth handover. Ensures proper safekeeping of document and good quality of work output.
* Establish and maintain systems for the maintenance and control of all Project documents to ensure the Project team and other Contractors are using the latest copies of documents.
