ROLES and RESPONSIBILITIES:
* Conducts oneself in an HSE responsible manner at all times and follow Project HSE Policies, Procedures & Guidelines. Complies with the Project Policies and Procedures in all areas impacting the business.
* Receives all relevant documentation and ensures the technical documents are stored in a systematic manner based on project standard. Creates efficient data storage/filing systems. Develops and maintains an efficient, up-to-date system and ensures that all aspects of documentations are effectively controlled and categorized.
* Maintains data entry of technical documents in Computerized Document Registry and ensures that all current revisions and location of documents are into their designated electronic folders. Changes on documents should be reflected and updated to the relevant documents as required in archives.
* Carries out quality checks on incoming and outgoing documents before uploading in the system and track receipt, distribution and review of engineering and vendor documents.
* Ensures safekeeping and maintenance of technical records and master documents (hard copies) stored in Document Control Room. Controls the flow of documents (Engineering Drawings & Data, ITP's, Project Plans & Procedures, Method Statements, Material Certificates, Vendor Drawings & Datasheets etc.) and file in a systematic order for easy retrieval using database logging registration.
* Provides proper document numbering for all documents produced i.e. Outgoing Correspondence, Outgoing Transmittals and Site Technical Queries etc.
* Interfaces with all disciplines to ensure that the requirement of the documents/drawings for projects and operations are properly handled and their outstanding and pending issues are resolved in a timely manner. Corresponds with the distributions of required documents to all discipline personnel and produces copies of distribution as required.
* Ensures and follows up the implementation of the Approved Quality Management System Procedure issued by the Client.
* Handles confidential documents, strictly observing necessary controls/access restrictions.
* Prepares receipt of outstanding documents, follows-up and makes document status reports periodically.
* Organizes distribution of final project documents after compilation.
* Performs Technical Assistant duties as and when assigned.
