Present Job Responsibilities
* Handling Accounts, Site administration.
* Understanding and contributing to Company Quality and HSE Policy and Guidelines.
* Ensure that all contractual / company and local authority requirements for Quality, Health Safety & Environment (HSE) requirements are complied with.
* Personal Responsibility for petty cash, acknowledgment signatures and back up papers.
* Ensuring timesheets are collated and payrolls are prepared.
* Ensuring payments are done as approved - salaries, settlements, supplier / subcontractor payments.
* Ensuring Supplier / Subcontractor invoices are checked, cost code allocated and forwarded for management approval.
* Ensuring invoices are checked against back up papers from sites and further processing of same.
* Maintaining accounts file for projects.
* Ensuring computer data / CONTRAKSOFT entry is completed for accounting purposes.
* Ensuring payrolls preparation and checking.
* Correct data entry using the tailor made software.
* Filing of all accounts papers as per agreed system.
* Supervising and handling the incoming material and communication with various suppliers and necessary follow-ups.
* Obtain material quotations and prepare Local Purchase Orders for projects under construction, ensure contractual quality / HSE requirements are stipulated.
* Propose material source / suppliers and subcontractors in compliance with project requirements.
* Ensuring materials are from approved source in compliance with project / contract requirements and as stated in material requisitions.
* Monitor Supplier performance and maintaining records of non conformances.
* Handling fresh queries from new suppliers.
* Follow up on material requisitions and coordinate purchases as applicable.
* Follow up, arrange and co-ordinate deliveries of required materials to site.
* Review of the approved suppliers list.
* Verifying that the corporate quality & HSE policy is fully implemented, operated and maintained within his scope of activities.
* Determine and resolve, the principle causes of any non-conformance.
* Conduct, where appropriate, statistical analysis techniques, to establish any quality trends.
* Coordinating for material, equipment and required manpower to be available on site required.
* Inspection of Vehicles, Equipments and Machinery's as per the agreed frequency.
* Ensure that applicable company standing instruction for receipt checking quality storage and issue of material are complied with.
* Agreeing with other party and management which item required physical checks on before acceptance on site.
* Storage and disposition of material tools and tackles, small equipment etc delivered to site and completion paper works.
* Compiling materials reconciliation schedules and other relevant forms before submission to the management.
