The Dubai Mall Project (June 2006 – present)
With a total contract value of AED 900 million, I am currently acting as a site based document controller, reporting directly to the Project Control Manager.
Being the Document Controller responsibilities include Preparation, Submission and follow-up of Documents, Samples related to project to Main Contractor/Consultants for their approval. Routing/distributing of documents as per company procedure & requirement in Expedition.
Implement standard procedures for receiving, dispatching, distributing & filing of documents being handled in the section.
Filing/Storing and data maintenance in such a manner that Information should be available for all concerned persons at anytime.
Have introduced a latest numbering system in handling of shop drawings enabling easy reference of submission to Main Contractor/Consultant, approval status, resubmission, distribution (to related departments/sections) etc.
Handling an informative system of matrix for distribution of project correspondence, Inspection Requests, shop drawings, Engineer's comments/approvals on site clarifications, work notifications, document submittals, material submittals, area of access handovers, etc. etc…. developed by the project management.
Maintaining a standard system of project filing (both manual and computerized), enabling easy reference of all project letters/documents instantly.
Updating, reviewing, compiling and preparing reports/statements of incoming/outgoing correspondence, all types of documents including Subcontractor approvals, Material approvals etc. and submitting to the top management as and when required.
Working with the QS Dept. to support for the take offs and estimation – Contracts Dept.

The Dubai Mall Project (June 2005 to June 2006)
A sole responsibility was given to work with the management to provide administration works on Key Officers (Project Manager, Electrical & Mechanical CMs & QA/QC Managers). The role included preparation of general correspondence, site inter-office memos and construction site office forms. I also provided the full technical support in the preparation of daily, weekly and monthly reports which transmit updated manpower list, areas of concern and progress reports to be submitted in the Planning Department. I also supported QA/QC Dept. in updating MEP Checklist for site requirements and monitoring the Works & Material Inspection Requests. My role entailed submitting the attendance reports to Human Resource & Accounts Dept. and updating list of office and site details.
