Role Description/Responsibilities
Responsible for all day-to-day administrative activities of Plant, Township and
Liaisoning activities.
Trouble shooting

Key Accountabilities / Responsibilities
�� Administer Office Services o Premises lease and rental administration o Premises upkeep and housekeeping o Facilities availability and upkeep o Service contracts o General repairs and maintenance premises, furniture and fittings o Stationery and Office supplies o Vendor identification and relations o Security Services - Visitors Management o Fire Protection
�� Manage application, renewal and closure of licenses as needed for the office

Finance & Accounts -
- Implementation of Financial policies, internal controls and processes.
- Ensuring efficient utilization of funds its proper accounting in web based accounting
Software
- Maintenance of books of accounts.
- Fund management: Stringent control over funds/ imprest balances, forecasting normal
And abnormal requirements of funds
- Raising request for replenishment of funds
- Preparation of Budgets for the units with respect to the various overhead costs.
- Budget Vs. Actual comparison, Variance Analysis and Controlling of overhead costs.
- Checking of accounting data sent by field units through manual cash books/floppy/on-line web access against A&F guidelines and supporting documents:
- Undertakes the dispatch, as and when required, of documents and records to field units e.g. user manuals, back up data, system patches, etc.
- Monitors and maintains the inventory of data backups received from the field units as an integral part of the data management process;
- Follows up and obtains necessary documentation relating to approvals and lack of adequate supports to accounting data from field units;
- Provides feedback /acknowledgement to field units on status/resolution of queries and receipt of accounting data through appropriate mode of communication;
- Responsible for timely and accurate generation of accounting and management reports allotted;
- Performing periodic reconciliation of project books of accounts.
- Performing periodic reviews/audits of field offices.
- Providing the Accounts Supervisor with information and guidance on accounting issues as and when required;
- Assist the Assistant Accounts Supervisor in any other manner as required
Administration-
- Managing all administrative and logistics functions.
- MIS reporting to Head Office
- Co-ordination with Head Office, regional office and District Health Authorities for all
Administration, accounts & finance and personnel matters.
- Procurement of equipments and services, negotiations with suppliers,
Contracts and payments to the vendors, taxi hiring contracts and travel arrangement.
- Organizing District/ Block meetings and training programs
- Acting as an interface between the different departments within the District for all A&F Operations
- Provide technical inputs to adapt the training modules.
- Formulation of work instructions for each category of employees.
- Man & Materials Management including inventory control.
- Administrative duties like Personal, Financial and Materials Management of various dept
- General accounting, bill passing and maintenance of creditors.
- Handling of daily Cash-Book Bank-Book, & Journal Posting. etc.
- Daily administration of financial functioning.
- Assess all Internets & shout out all queries.
- Supervising Skill.
- Plans, organizes, and conducts meetings with government officials, professional organizations, hospital staff, non-government organizations, and others to promote understanding of, support for, participation in and effective implementation of activities related to surveillance of various diseases and its eradication.
- Develops and maintains close working relationships with Government officials responsible for immunization and surveillance in their designated area, as well as with other individuals and organizations related to disease surveillance.
- Coordinate & implementation NGO/Govt. Sector project program.
- Monitor and support the process of village planning at field level.
- Management of various Health schemes.
- Document the process (including quantitative and qualitative data analysis, case studies, progress and issues/ challenges).
Facilities Management handling complete Facilities (sites) & infrastructure set up and liaising with contractors & interiors for the same.
Interacting with different departments for executing the maintenance of all equipments in the organization and enhancing the overall efficiency
Industrial Relations ensuring prompt resolution of employee grievances to maintain cordial management-employee relations and achieve dedication by the workers.
Negotiating and amicably settling disputes with the Union and maintaining discipline & harmonious working environment across all employee levels.
Liaison Work and Personnel Management coordinating with the internal cross-functional departments / offices for smooth execution of day to-day business operations.
Liaising with Government departments like CIDCO, Pollution Control Board, Directorate of Industrial Safety and Health, etc. for ensuring smooth functioning of the departments.
Organizing training and development programs for employees for enhancing their skills.
