Profile: A JV between AKTOR Greece and Al Ahmadiah Group Dubai. Aktor is the biggest construction company in Greece and the JV has many construction projects under its belt including the Sewage Treatment Plant at Jebel Ali, Dubai.
Role Document Controller
Responsibilities listed below are handled as per the company policy of periodic staff rotation within the department, implemented to ensure standardization and also to avoid monotony of work.
MAIN PURPOSE OF THE JOB:
To maintain and control the documentation of all approved documents and drawings and files for the cost centre.
RESPONSIBILITIES:
¡ñ Reports to Project Manager ¡ñResponsible for implementing and maintaining the Quality Management System ¡ñ To ensure that the organizations Quality policy is understood and implemented by all personnel reporting to him ¡ñ Manages incoming and outgoing correspondence requirements as per procedure ¡ñ To ensure that controlled copies of latest approved documents and drawings are distributed to the appropriate staff, subcontractor and suppliers as applicable ¡ñ The documents and drawings are maintained in the document control office under safe custody without any damage with easy traceability ¡ñ All approved documents and drawings an their distributions are clearly marked in a Document / Drawing registration as per company policy. ¡ñ Ensures documentation references are conforming to requirements of the Projects Quality system ¡ñ Performs the required administration tasks for the department ¡ñ Material Submittal Preparations.
¡ñ Electronic transmission of document, in accordance to project distribution system under the guidance of a senior document controller ¡ñ Creates and maintains filing system as per the needs of the department ¡ñProvides feedback to the Project manager on the efficiency and conformity of documentation handling ¡ñ Other Administrative duties assigned by Project Manager ¡ñ Overseas document filing activities and ensures records are filed as per the approved project filing method ¡ñDistributing drawing submissions, technical submission and material submissions to all the disciplines concerned ¡ñ All documents, letters, and correspondence are scanned and filed systematically for e-viewing and emergency backup purposes ¡ñ Carried out any other assignments given by the Project Manager ¡ñ Computer support administration and trouble shooting (software & hardware) from installations, downloads, sharing of PC's and printers ¡ñ Network maintenance and trouble shooting.
OFFICE SUPPORT/SECRETARIAL, MIS/DATA RESPONSIBILITIES INCLUDE:
¡ñ Upkeep of confidential documents and reports ¡ñ Independently respond to letters and correspondence of routine nature ¡ñ Coordinate office activities and schedules; develop and recommend office procedures/systems and ensure smooth office operations ¡ñ Review and summarize miscellaneous reports and documents; prepare background documents as necessary.¡ñ Research and analyze routine administrative projects ¡ñ Prepare reports, and materials for publications and presentations ¡ñ Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, filing and coordinating courier deliveries ¡ñ Maintain hard copy and electronic filing system. ¡ñ Provide adequate research details and providing adequate presentation material for meetings and seminars ¡ñ Providing necessary inputs for Managers work plan and schedule ¡ñ Checking whether correct formats are being used to submit various reports ¡ñ Checking for the correctness and completeness of various data in the reports/ documents and obtaining the correct data in case of error ¡ñ Assisting in the preparation of various reports to be sent to Regional and National offices ¡ñ Develop and maintain database of Surveillance activities and co-ordination among unit offices ¡ñ Back up for Receptionist: Sorting and Distributing mail, answer and direct telephone calls appropriate manner, Meet and greet clients and visitors.
