BHP Billiton Iron Ore’s mining operations in the spectacular Pilbara region of WA are one of the largest in the world, shipping more than 120Mtpa of iron ore. Our railways, consisting of more than 800km of track, connect our mines in the Pilbara with our shipping facilities in Port Hedland. The heavy haulage rail system, the heaviest in the world, with more than 100 locomotives and around 4,500 carriages, uses state of the art technology across all facets of the operation.

Position Synopsis

We are looking for an energetic and proactive administrator to take a lead role in assisting the Yard Operations Department, manage a high volume workload and take responsibility for following through on tasks.

Reporting to the Superintendent Yard Operations, you will be responsible for all administrative issues and supporting the Department. You will focus your efforts on the following key accountabilities:

* Providing front of office support for the Department;
* AMEX and direct purchasing reconciliations;
* Arranging staff and other travel and accommodation as required;
* Maintaining a filing system for correspondence and documents;
* Coordinate meetings relevant to the department;
* Attend meeting to record and distribute minutes;
* Processing of service entry data sheets, purchasing requisitions, and notifications using GSAP;
* Maintaining supplies through direct purchasing and warehouse ordering;
* End of Month Accruals;
* Back up Rail Crew Scheduler (rostering) relief; and
* Other administrative duties that are required, eg. sorting of mail, filing, maintaining stationary.

Skills and Experience

The successful candidate will have wide ranging administration experience and demonstrate a high level of proficiency in the full suite of Microsoft Office applications. Your excellent oral and written communication skills, initiative and advanced multi-tasking capabilities are critical success factors.

Working in a relatively autonomous role within the team, you will be required to be a self starter who is capable of controlling your own work flows and adding value to team processes where possible. Your flexibility to adapt to changing circumstances and your meticulous attention to detail will be highly regarded. Exposure to GSAP and previous rostering experience will be favourably viewed.

Local conditions apply: this role is only open to people who can supply their own housing in Port Hedland in accordance with BHP Billiton Iron Ore’s Housing policy.
