Position Summary:
Provide secretarial and administrative support to one or more executives and managers
Essential Job Functions:
• Type variety of highly confidential documents.
• Maintain supervisor’s calendar; schedule/confirm meeting dates, etc.
• Arrange travel, hotel, car reservations and prepare itineraries.
• Take transcribe dictation, including correspondence, meeting minutes consisting of processing in-coming mail (open, stamp) and sort for priorities.
• Obtain supervisor’s signature on all contract, subcontract, and change order documents as required.
• Position may have continual contact with top clients, labor and/or government and similar group representatives.
• Set up and maintain sophisticated filing systems, supervisor’s personal files, etc.
• Screen phone calls/solicitors per supervisor’s instructions; handle routine items, pass others on to supervisor.
• Distribute and/or handle items not requiring supervisor’s attention.
• Compose correspondence for supervisor’s signature as directed.
• Coordinate and process administrative items for supervisor’s signature.
• Perform additional assignments per supervisor’s direction.
• Must attend training sessions, seminars, and appropriate educational classes as required by department.
Knowledge, Skills and Abilities:
• Advanced knowledge of general business and company procedures.
• Ability to maintain confidentiality at all times is critical.
• Must be courteous, professional and diplomatic.
• Possess current knowledge of business or secretarial skills and organizational practices.
• Have excellent written and oral communications applicable to standards set by organization.
• Must have proficient computer skills commensurate with program and job applications, specifically MS Outlook calendar.
• Ability to shorthand and strong organizational skills.
• Ability to multi-task and prioritize workload.
Qualifications:
• Two to three (2-3) years of secretarial/administrative experience or in relevant field.
• Associate’s degree in business, secretarial school or with relevant experience (preferred)

Visual Acuity: must be adequate to perform all required job description tasks in a safe manner. The majority of work is performed in a professional office setting with a wide variety of people with differing functions, personalities and abilities. Job may require some travel to remote job-sites.
