Position Summary:
Provides administrative support for payroll department.
Essential Job Functions:
1. Type variety of documents.
2. Take transcribe dictation, including correspondence, meeting minutes consisting of processing in-coming mail (open, stamp) and sort for priorities.
3. Assisting in payroll preparation and duties
Other Job Responsibilities:
1. Set up and maintain sophisticated filing systems within payroll
2. Screen phone calls/solicitors per supervisor’s instructions; handle routine items, pass others on to supervisor.
3. Distribute and/or handle items not requiring supervisor’s attention.
4. Compose correspondence for supervisor’s signature as directed.
5. Coordinate and process administrative items for supervisor’s signature.
6. Perform additional assignments per supervisor’s direction.
Skills, Knowledge, Qualifications & Expertise:
1. One to four (1-4) years of secretarial and administrative experience or in relevant field is preferred. Experience within accounting or payroll is helpful.
2. Advanced knowledge of general business and company procedures.
3. Proficient typing (40-50 WPM), shorthand and organizational skills required.
4. Ability to maintain confidentiality at all times is critical.
5. Must be courteous, professional and diplomatic.
Education:
1. Associate’s degree in business, secretarial school or with relevant experience is desired.
Required Training & Certificates:
1. Attend training sessions, seminars, and appropriate educational classes as required by department.
2. Possess current knowledge of business or secretarial skills and organizational practices.
3. Have excellent written and oral communications applicable to standards set by organization.
4. Computer skills commensurate with program and job applications.
