With seven mines, two ports and processing facilities and an award winning 1000+km rail system, BHP Billiton Iron Ore is more than equipped to meet the demands of the global iron ore market. We are expanding every facet of our Iron Ore business as we develop new ways to deliver competitive advantages to our customers. Our most recent growth project, Rapid Growth Project 5, will take installed capacity at our Western Australian Iron Ore operations to 205mpta by the second half of calendar year 2011.

Position Synopsis

A very rare opportunity has arisen for an experienced Executive Assistant to join our business. Supporting our Chief Operating Officer, Western Australian Iron Ore, we are seeking an exceptionally organised and team-spirited assistant to provide high-level executive support.

The scope of this role includes:

* Regular liaison with VP’s, Senior Managers and other Executive Assistants transmitting and acquiring information on behalf of the COO;
* Providing high level diary management for the COO, ensuring optimal time utilisation;
* Coordination of travel itineraries including accommodation and transport bookings;
* Production of time critical, confidential documents (presentations, reports, spreadsheets, graphics);
* Attending to the COO’s visitors and guests and arranging functions as required;
* Screening calls and vetting correspondence;
* Maintaining a document management system;
* An overriding commitment and awareness of BHP Billiton Iron Ore’s safety requirements.

Skills & Experience

Your proactive approach in a busy environment will ensure that the COO’s office is efficiently run and well maintained. This role will utilise your initiative and exceptional organisational skills as you coordinate numerous activities with minimal supervision and handle changing priorities with ease. You will already have significant experience working within a large organisation, providing a high level of support in an environment underpinned by integrity and teamwork. You will maintain absolute confidentiality, privacy and discretion with all information and the ability to establish and maintain effective working relationships with peer groups and key internal stakeholders will be essential as you cooperate with others to achieve business outcomes, through productive personal behaviour.

Technically, you will have advanced skills across the Microsoft Suite of programs and ideally a detailed working knowledge of SAP.
