Main Purpose of Position
* Support for the functional areas of Finance, Supply & Logistics, Human Resources, Planning
* Planning for Knowledge Management systems (Documentum, Portal) including applications and systems architecture
* Business Process Improvement - Work closely with the functional teams to identify, recommend and deliver business and process improvements.
ROLES AND RESPONSIBILITIES
Finance
* Development and enhancement of systems to support key business functions via Petroleum’s KM Systems Strategy.
* Continuously support key applications such as Documentum, and subsystems such as PEPM, PRA, EDV, EU and the Portal
* Support Finance Systems team in areas such as BW, BPS and Monthly Reporting supporting key business processes such as the annual budget planning review.
Production and Development
* Work closely with the Production & Development IM lead to ensure the use of GSAP PM and associated modules such as EU
* Work closely with Development IM teams to ensure modules such as Investment Manager, Project Systems, Project Costing and Scheduling are used from the KM suite
Supply & Logistics
* Work closely and support Supply Business Improvement Team to deliver efficiency improvements such as Contract Management System, Training and Adobe Workflow based forms.
HR
* Support for key HR Calendar activities such as the annual budget and people planning process, monthly reporting, and performance review and improvement systems.
* Support for key HR Improvement initiatives include the employee on-boarding process, SAP BW Reporting, Improvements to the HR security model and Personnel Cost Planning
General
* Support for all teams in the business using Adobe Workflow, Business Action Tracker, TEM, ESS/MSS, Portal technologies and the general applications catalogue.
Administrative and Program Management
* Supervision of team of Senior Business Analysts.
* Manage customer stakeholders - regular meetings, deal with issues, escalations
* Program Monitoring. Ensure continual monitoring of the program's progress to ensure that the program systems are working to achieve goals and objectives and program maintains Petroleum IT Vision and PMO accountability standards.
* Influence and assist in the management of change for these projects - includes, change identification at the initial stages of a project prior to implementation, through to the follow-up of the project to ensure delivery has met business needs.
* Reporting. Ensure the preparation of weekly, monthly, annual and end of project reports as required by PMO. Work to ensure that all reports are highly accurate, comprehensive, well documented and will ensure the credibility of the program development and enhancement of systems to support business functions and production and development IM.
* Capture and share the learning’s from these projects.
* Conduct required Project Close Out and Peer Review sessions.
General
* Full alignment with the Petroleum IM Scorecard including, PMO, planning interaction and service management
* Convene regular budget and project reviews with Business Stakeholders.
* Be highly visible to the business through developing strategic relationships/partnerships to ensure that the business is aware of this role and how it can assist them.
AUTHORITY & WORKING RELATIONSHIPS
The position reports to the CIO for Petroleum and is part of the Petroleum IM Leadership Team.
Direct reports include Business Analysts and Application support Analysts in the IM Team supporting HR, Finance, and other functional teams as well as contract Project Management staff. Matrix reports may include staff embedded in the business.
Manage day to day responsibilities of the Knowledge Management lead and Records and Information Management Lead.
Work closely with business key users, subject matter experts and business leads in defining and implementing the Business Systems strategy.
Special Working Conditions
This position is based in Houston with travel as required to establish and develop the role.
EXPERIENCE AND QUALIFICATIONS
* Graduate degree in Technical, Commercial or Business Information Technology, or other relevant area or equivalent experience gained by length of service.
* Broad technical knowledge of application architecture, IM systems and standards as used by BHP Billiton in both the infrastructure and applications area.
* At least 15 years experience in design, installation and project management of IM solutions preferably in the oil and gas industry and with a global context.
* High levels of initiative and energy.
* Strong planning and co-ordination skills in people and resources relevant experience in design, implementation and project management of systems solutions in an oil and gas exploration and development environment
* Strong business analysis skills for effective gathering of customer requirements, and architectural skills in the selection and implementation of software solutions.
* Demonstrate strong people and organizational skills and ability to build effective working relationships. Ability to interact effectively with all levels of the organisation.
* Extensive Documentum, KM, Portal background with specific emphasis on one or more of the following - Finance, Project Management, Plant Maintenance, Materials Management, Human Resources and Health Safety & Environment
* Excellent written and spoken communication skills.
