Responsibilities and tasks
To undertake administration duties associated with the Attract and Select elements of the People Process for offshore personnel.
Ensure that all applicants, new starts and resource requests are recorded within 3C and Peoplefluent
Set up relevant interviews ensuring appropriate personnel are available
Ensure all references checks issued and tracked
Ensure capability assessments are sent to hiring managers
Ensure that all new start details are sent to CPA, Finance and Commercial utilising the appropriate methods, together with updating relevant starter spreadsheet
Liaise with HSEQ to ensure all new starts attend HSE induction
Organise relevant PPE and accommodation where required
Ensure personnel files are prepared in a timely manner
Ensure training certificates are sent to Training Department
Ensure IAC forms are issued, completed and returned
Maintain contact with applicants to ensure details are up-to-date and record availability in 3C
Ensure adequate supply of induction packs are readily available
Assist with operational logistics as and when required (rota’s, check-in times etc)
Ensure familiarity with Aker Solutions’ HSEQ Policies, Principles, Just Care™, HSE Mindset, Just Rules, Just Culture and HSE Operating System
Actively promote, through your personal commitment, Aker Solutions’ HSEQ Policies, Principles, Just Care™, HSE Mindset, Just Rules, Just Culture and HSE Operating system
Be seen as a role model on HSE matters within your areas of operation and influence

Take personal responsibility for HSE local site rules and ensure regular review of your personal HSE agreement
Intervene and ensure intervention by others where required
Report all accidents, incidents and near misses in accordance with Procedures
Keep abreast of industry developments and innovations that may affect safety and welfare of personnel or protection of the environment, and inform colleagues accordingly
Qualifications & personal attributes
Good understanding of various databases (SAP, Vantage, MS Office etc)
Good secondary education
Experience in similar role
Good administrative skills – high quality approach with attention to detail.
Experience in working within tight deadlines
Ability to prioritise and organise workload
Excellent communication skills
Flexible and able to meet deadlines.
Self motivated and willing to support and contribute to a busy department.
Customer focussed.
