Aker Solutions are looking to recruit a Receptionist to be based in their Chiswick office, West London
Responsibilities and tasks
- Meet and greet Visitors/Clients, ensure Visitors are aware of HSE Visitor Induction.
- Ensure, with the Facilities Assistant, that meetings rooms are set up for the required time/number
- Book meeting rooms and arrange catering/cleaning as required.
- Provide switchboard coverage, receiving and forwarding phone calls and messages.
- Work with courier services, taxi companies, local hotels etc to provide a support to staff/visitors.
- Receive minor deliveries from couriers, ensuring items are quickly passed to the relevant people, and ensure larger deliveries (e.g. bulk IT equipment) are received by the appropriate person.
- Ensure kitchens & Town Hall are stocked with consumables (Teas, milk, fruit etc) on a daily basis.
- Be aware of the security of the building and staff in it, managing staff access passes and ensuring that visitor access passes are appropriately issued and received back and that visitors are welcomed/checked in an appropriate manner.
- Ensure outgoing post is franked and taken to the building reception for collection on time daily.
- Provide administrative support to the Facilities team as required such as minor purchases etc.
- Keep contact lists and other registers/databases up to date.
- Take minutes of meetings and disseminate after the meeting.
- Support the Facilities Manager in organising staff support including for example, office parties, charitable giving, Enjoy Work interface and events Promote good housekeeping to all staff.
- Ensure office environment is free from hazards.
- Ensure self and other staff involved in manual handling conform to safe manual handling practices.
- Promote HSE in contracts for goods and services.
Qualifications & personal attributes
- Able to be smartly dressed with confident, professional manner.
- Good communication skills face to face, phone and email.
- Self motivated.
- Able to prioritise tasks and take initiative.
- Excellent memory for names/faces and their roles.
- Norwegian language (Speaking/reading/writing) not essential.
- Outlook, Word, Excel, Powerpoint.
- Knowledge of Cisco phone Switchboards is preferred.
