Aker Solutions Engineering, located in Westchase Business District, is seeking a talented Administrative Assistant for a contract to direct hire role who can strengthen our team and support our ambitious growth plans within the oil & gas market.
•Supervises and coordinates a variety of administrative activities in accordance with established procedures and establishes work priorities to include; travel arrangements, calendar maintenance, preparation of expense reporting
•Assist in development of Proposals using Advanced WORD skills
•Responsible for development and implementation of administrative systems and controls to improve effectiveness of methods and procedures in assigned areas of responsibility
•Maintains awareness of changes in administrative and operational procedures and communicates these changes to department personnel
•Prepares periodic or special reports as required
•Set up administrative aspects of large complex project in accordance with the contract and Project Execution Plan, (e.g. point of contact, flow of information, security, levels of confidentiality)
•Coordinate new employee and client office setups with service departments e.g. IT, Facilities etc.
•Works independently receiving a minimum of detailed supervision and guidance
•Composes correspondence requiring some understanding of technical and administrative matters; may sign for manager when technical or policy content has been approved
•Notes the commitments made by manager during meetings and arranges for staff implementation
•Arranges for staff member to represent organization at conferences and meetings, establishes appointment priorities, or reschedules or refuses appointments or invitations
•Reads outgoing correspondence for manager’s approval and alerts writers to any departure from policies
•Independently prepares materials needed by the supervisor for conferences, correspondence, appointments, meetings, telephone calls, etc.
•Summarizes the content of incoming materials, specially gathered information, or meetings
•In the supervisor’s absence, ensures that requests for action or information are relayed to the appropriate staff member; as needed, interprets request and helps implement action
•Makes sure that information is furnished in timely manner
•Organizes and maintains confidential files and records of particularly sensitive in nature
