Summary of Principal Functions: Provides confidential secretarial, administrative and analytical support to the Vice President, Chief Risk Officer, Senior Director- Enterprise Risk Management and Director- Internal Audit. In addition, the position will provide administrative and analytical support to department staff of both departments including travel and expense reporting.
Specific Responsibilities (in priority order):
- Actively foster teamwork with individuals both inside and outside supported departments
- Coordinates meetings, conference calls, travel arrangements (including multi-city and international travel, etc).
- Enters data into various Web-based systems
- Establishes a system of record keeping and document flow and maintains up-to-date, comprehensive records and reports with respect to assigned functions.
- Prepares and produces (printing, binding, etc.) presentations for Board of Directors meetings, management presentations and other meetings.
- Conduct research on behalf of the department heads as needed.
- Prepares memoranda, letters, reports, graphs and spreadsheets in proper form, using correct grammar, spelling, and sentence structure, punctuation, etc.
- Assist with the data entry and maintenance of internal audit and risk management information in the BWise system.
- Assist the business continuity/crisis management team with maintaining documents and plans and perform administrative tasks as needed to support efforts.
- Track balances and funding of all workers’ compensation accounts.
- Assist with other insurance-related activities, including communicating with operations, processing certificates of insurance, preparing market submission reports, processing bonds, coordinating and scheduling loss engineering site visits and maintaining policy summaries.
- Arrange meetings (space, food, accommodations and reservations).
- Acts as receptionist for department heads and assigned managers; receives visitors escorting them to conference rooms and providing refreshments.
- Answers telephones for department heads, schedules appointments, and sorts and distributes daily mail.
- Completes and reconciles expense reports for department heads and other professionals in the two departments.
- Lends support to other executives as needed during absence of other assistants.
- Performs other office functions as directed, including ensuring administrative/phone coverage for other Cliffs Natural Resources executives.
Education Needed: High school graduate with one or more years of advanced education preferred. Associate or bachelors degree a plus.
Experience Needed: Five or more years administrative support experience.
